HELIOS MODULES

One of HELIOS� major strengths is its flexibility. There are a number of pathways though HELIOS, from generating goods received notes and waybills directly from in-kind donations or purchase orders, to including such optional steps as Mobilization, Procurement and Warehouse as warranted by external conditions or organizational objectives.

The HELIOS supply chain begins when a project is created using the Project Management module. Users can establish and track project structure, project needs and appeals. Demands for projects are managed with the Request Processing module (optional) using tools such as Request Orders and Sales Invoices. The optional Mobilization module enables the planning, tracking and reporting of in-kind donations. Procurement, another optional module, provides powerful tools to manage the acquisition of goods and services, including Purchase Order, Procurement Invoice, Request for Quotation, Bids, Comparative Bid Analysis and Framework Agreements. The optional Warehouse module manages inbound and outbound consignments using Goods Received Notes and Waybills. Finally, the Tracking module is used to track the flow of goods through the supply chain at the line item level, from demand to delivery point, using a commodity tracking number. Waybills can be tracked at various points via customized milestones.

Monitoring tools are one of the main vehicles HELIOS uses to provide users with a high level of supply chain visibility. HELIOS accomplishes this with two types of tools. Reports illustrate a situation over a period of time, and Dashboards provide ongoing activity monitoring. Visibility becomes possible from multiple perspectives: headquarters, donors, colleagues, countries, field locations and teams. From warehouse inventory and stock movements, mobilization and project-based reports and supplier items databases to pipeline reports and basic key performance indicators and statistics, HELIOS presents macro and micro views from a variety of angles.

HELIOS is also designed to provide the maximum support to users who may not have strong background or training in systems. The HELIOS Wizard is a navigational feature created to assist the end user to extract all necessary data from the system in order to optimize the network in functions such as routing, selecting the best supplier or reconsolidating data in the system if steps have been omitted.
